Robert Half Executive Assistant in Scottsdale, Arizona

Description We are offering an exciting opportunity in the education sector based in Scottsdale, Arizona. This role is for an Executive Assistant who will primarily support the CEO with tasks such as expense management, setting up executive and regional meetings, and interacting with Board members and other executive clients.

Responsibilities:

• Oversee and manage all aspects of the CEO's schedule, including setting up executive meetings and making necessary arrangements for catering

• Carry out expense management tasks, ensuring all expenses are accurately recorded and managed effectively

• Provide comprehensive administrative support including taking notes during meetings and maintaining relevant documentation

• Act as a point of contact between the CEO and internal or external clients, maintaining a professional decorum at all times

• Manage the CEO's interactions with Board members, ensuring all communication is handled promptly and professionally

• Utilize Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time for various administrative tasks

• Manage the CEO's calendar efficiently, ensuring all appointments and meetings are scheduled appropriately

• Handle correspondence on behalf of the CEO, ensuring all communication is accurate, professional, and timely

• Provide support to the C-Suite as required, ensuring their administrative needs are met

• Draw on previous administrative experience to anticipate the needs of the CEO and respond proactively. Requirements • Minimum of 5 years of experience as an Executive Assistant, preferably in the Education industry.

• Proficient with Microsoft Office Suites including Microsoft Excel and Microsoft Outlook.

• Experience with Concur and CRM systems.

• Familiarity with 'About Time' software.

• Proven ability in Calendar Management and handling Correspondence.

• Extensive experience in dealing with C-Suite level executives.

• Strong documentation skills.

• Previous administrative experience is a must.

• Excellent organizational and multitasking abilities.

• Strong written and verbal communication skills.

• Ability to work independently and as part of a team.

• Bachelor's degree in Business Administration or related field is preferred.

• Excellent problem-solving skills.

• Ability to handle sensitive and confidential information with discretion.
