At Stony Brook Medicine the TH Instructional Support Assistant Radiology Medical Physics position is to provide administrative support to the Radiology Medical Physics group and provide backup administrative support to Radiology Administration as needed. The duties and responsibilities will include but not limited to maintaining and tracking inspection records, attending Radiation safety and MRI Safety meetings and record minutes of those meetings, schedule meetings, and monitor and respond to all correspondences coming into the section and department. Duties of a TH Instructional Support Assistant - Radiology Medical Physics may include the following but are not limited to: Responsible for clerical and administrative needs of Department of Radiology Medical Physics section, and when needed Radiology Administration, to include but not limited to typing of correspondence (utilizing various software programs, including Microsoft Word, Excel, and Power Point), schedule meetings and maintain section calendar, maintain section files, answer telephone & direct calls appropriately, process travel voucher for reimbursement. Monitor all preventive maintenance and Service Tickets on all Imaging equipment for various departments in the organization. Maintain all records in the Medical Physics Department to include but not limited to: Maintain records of preventive maintenance due dates and alert and advise Physicists and Radiology Administration when PMs are due or past due. Maintain Clinical Medical Physics Section regulatory documents. This includes records of accreditation by the ACR, ICANL, and other accrediting bodies. Coordinate & maintain all regulatory records for Nuclear Medicine Section. Responsible for clerical needs that pertain to radiation safety regulatory requirements and responsibilities (e.g., DOH, JCAHO, ACR). Schedule and record minutes of Hospital Radiation Safety Committee and MRI Safety Committee meetings Monitor Physics testing of imaging equipment, and maintain a schedule of when testing is due to meet manufactures specifications and Joint Commission and DOH requirements. On a monthly basis, obtain and process all documentation pertaining to Nuclear Medicine I-131 patients in order to meet regulatory requirements. Audit information and submit to appropriate committees. Coordinate and schedule the Physicists testing with the various sections and departments as needed. Distribute to Radiology Administration, vendors and section supervisors reports provided by physicists when testing results indicate that corrective action is, needed for equipment. Maintain instrument calibration due dates and arrange for calibrations when they are due. Procurement of office supplies and other supplies as needed for the section and other sections of the Radiology Department as needed and requested. Manage and exchange personnel dosimeters for the Radiology Department in cooperation with Radiation Safety. Coordinate & maintain documentation for personnel dosimeters. Perform duties related to scheduling clinical research exams; assist to the Physicists, Radiologists, and others with coordination of Hospital based clinical research as needed. Coordinate & maintain documentation for Brachytherapy Cases (I-131). Coordinate and maintain documentation related to CAMPEP accreditation. Attend and complete all required annual corporate training. Other duties as assigned.
