Manager of Moves Job DescriptionMove Manager
General and Weekly Churn responsibilities
Review approved occupancy change requests (moves from an existing space to another, establishing a space for a new hire, vacating a space, including equipment move requests) for appropriate grade/location, availability, and timing.
Identify missing and/or inaccurate data and obtain clarifications from requestors.
Coordinate all vendor partners from E2E, to provide a safe, accurate move into a space that is ready for occupancy.
Maintain a schedule with accuracy, of occupancy changes in move management system (TANGO Move Module)
Produce relevant schedule to distribute to all service providers (telecommunications, desktop support, move company, building manager or landlords) as needed. (Churn or projects)
Manage all communications with customers, from reception of OP approval, through post-transaction feedback, and disseminate it to the appropriate parties for action or for information.
An understanding of general safety, EH&S required protocols, involving cleaning, decontamination, and moving requirements.
Educate occupants on, and enforce application of, move processes and Global Workplace Strategy policies/standards, and procedures.
Locker management making sure assigning works accurately address locker clean out process, escalate issues to management on individuals needing to address lockers.
Locker Battery management
Manage departure spaces by weekly reviewing space, create work orders to make it "space ready". This includes working with manager of departed personnel to have them remove legal hold and locker contents as needed.
Perform Space audits monthly - physically review occupancy of spaces, vacancy space, Flex areas, note squatters and differences from FMS database records. Review with occupancy planner and departmental contact and implement approved corrections to data.
Close out completed occupancy change transactions in move management system with detail and accuracy (Tango Move module)Furniture related
Refer requests requiring space modifications or for other considerations to space planners.
As needed provide proposal for furniture or move services and track and manage creation of PO.
Issue formal requests for facility/furniture modifications, using Work order system or Corrigo. (Ex. Monitor arms)
Furniture modification needed for repair replacement replenish inventory or manage outsource furniture vendor. (If applicable to site).Reporting, Efficiency, Coordination
Continually report into Occupancy planner on needs and coordination of weekly and project moves.
Suggest changes to existing MAC processes to maintain or improve service delivery while reducing operating cost.
Demonstrate proficiency in the use of all related technology systems, (Service Now, TANGO).
Deliver activity reporting to management and the client as required, such as progress and status reports and supplier contracts and invoices (as necessary).
Coordinate with Soft Service manager at the sites.Project Related
Develop and implement group move plans in collaboration with Occupancy Planner, facility management, project management and construction management teams, as required.
Management and coordination of the process, involving outside vendors, internal union craft labor, and support personnel, EH&S personnel, Asset Recovery.
Scope development, field survey, communication to all groups via minutes of meetings, written schedules, emails, implementing and running meetings for projects and ongoing work, creating & placing tags.
Coordinate all move-add-change (MAC) activities (signage, field audits, etc.).
Ensure that dates are on target and that move processes are managed and operated according to the client's business needs.
Create and distribute move instructions and manage suppliers (furniture, movers, telecommunications, computers, nameplates, etc.) required to deliver the services outlined.
Provide Post Project support via Concierge for facilities related needs.Clarification: Above description is dependent on ORM agreement with BMS per site.
Qualifications:
Project Management or move management., Involvement in Interior Design, or Real Estate a plus, and three to five years of relevant and successful experience in facilities, laboratory environment, space planning.Excellent computer skills, including fluency in all MS Office suite applications, and the ability to quickly learn and effectively utilize various CAFM facility management software tools.Demonstrate strong innovation, collaboration, organization, and communication skills.Easily manage multiple assignments simultaneously and exhibit a strong customer service orientation.Knowledge of space planning and interior design principles, and working knowledge of facility & furniture systems, architectural methods and codes and industry standards and procedures is a plus. Associates or bachelor's degree is preferred.Experience in managing moves, especially into and out of scientific laboratory space, is a plus
Good computer skills, including fluency in MS Word, Excel, and Outlook
Ability to quickly learn and effectively utilize various facility management software tools
Good collaboration, organization, and communications skills
Easily manage multiple assignments simultaneously, exhibit a strong customer service orientation and good attention to detail Interact comfortably with a full range of decision makers from direct supervisors to senior management
