OFFICE OF GENERAL COUNSEL/PUBLIC RECORDS
This position is in the Office of General Counsel (OGC)/Public Records and Records Production Unit (PRRPU). This is a part-time career service position working Monday through Friday 1 – 5 PM.
DUTIES & RESPONSIBILITIES:
Specific duties include:
Answering the phones for the Office of General Counsel which will include: receiving and forwarding incoming telephone calls to appropriate personnel and handling phone calls not requiring the attention of an Assistant General Counsel (AGC);
Handling all incoming and outgoing mail;
Aiding the Administrative Assistant, Government Operations Consultants (GOC) and AGC’s in dealing with public records requests and FDLE’s responses;
Copy or scan public record request files and other documentation for the Public Records GOC’s or AGC’s;
Filing records or correspondence once a case is closed;
Providing backup assistance to other support personnel in typing, which includes the response letters to inmates and letters to the Department of Corrections; and
Scanning Capital Collateral Files and other Death Penalty files when assigned to do so or as time permits.
To be considered as a potential candidate, you must meet the minimum qualifications(s) listed below. Degrees must be from an accredited college or university as recognized by the U.S. Department of Education.
A high school diploma or its equivalent.
KNOWLEDGE, SKILLS & ABILITIES:
Knowledge of general office procedures and practices;
Knowledge of various offices within FDLE and their function in order to forward phone calls to appropriate person;
Knowledge of correct grammar usage;
Ability to prepare reports and correspondence;
Ability to plan, organize and coordinate work activities;
Ability to follow instructions;
Ability to review date for accuracy and completeness;
Ability to communicate effectively;
Ability to establish and maintain effective working relationships with others;
Ability to minimize or avoid entirely any external interferences, including personal phone calls and emails, that have the effect of delaying or slowing timely completion of assigned tasks and duties; and
Ability to discern where work efforts are needed, to prioritize that work, and to perform necessary efforts with a minimum of supervision or management.
