Princeton Hydro Office Assistant in Trenton, New Jersey

Princeton Hydro is seeking an Office Assistant to join our team in our Trenton, NJ headquarters! The successful candidate will be a Trenton resident, well-organized, and have great time management skills. Founded in 1998 with the specific mission of providing integrated ecological and engineering consulting services, Princeton Hydro offers mission-driven expertise in natural resource management, water resources engineering, geotechnical design & investigation, and regulatory compliance.The Trenton office is located just south of the Trenton Transit Station along the Northeast Corridor rail line and the River Line Light Rail Transit train stops at the building. Work Hours: Monday - Friday, 8:30 am - 4:00 pm, additional hours as needed 35hrs/weekResponsibilities: Act as the point of contact among executives, employees, clients, and other external partners, managing information flow in a timely manner:Answer calls and direct the caller to the appropriate staff member;Greet and welcome visitors, vendors, and clients;Coordinate use of office space with outside organizations;Provide administrative support to ensure efficient office and company operations:Provide office support such as filing, scanning, printing, plotting, photocopying documents, and act as point of contact for maintenance of machines;Pickup mail daily from the post office and the lobby mailbox;Support business development as requested, including picking up marketing materials, sending out certified mailings of grants and/or proposals, and hand delivery of grants and proposals when needed;Handle ordering, receiving, stocking, and distribution of office and kitchen supplies, including snacks, printer/plotter paper, general office supplies, and cleaning supplies for the office;Set up new employee workstations and workspaces, including laptops, office/desk supplies, parking lot and building access, and direct dials;Assist Business Administration;Maintain a stocked and organized office supply closet and kitchen;Coordinate cleaning schedule and building maintenance with outside vendors;Additional responsibilities include:Assist with event planning and coordination;Set up and break down lunch and technology equipment for company meetings;Other duties as assigned.Desired Skills and Experience:Prior work experience as an Administrative Assistant or similar role;Outstanding organizational and time management skills;Discretion and confidentiality;Valid driver's license;Vaccination against COVID-19 is required for all Princeton Hydro staff.
