Job Summary:

The OCA Training Coordinator is responsible for developing and maintaining training infrastructure for the Office of Clinical Affairs. Reporting to the Manager of OCA Operations, the OCA Training Coordinator will work with clinical trainers and other stakeholders across the Office of Clinical Affairs to support the day-to-day functions and operations when it comes to adult clinical learning and technical assistance.

Key Functions/Responsibilities:

· Support all new hire onboarding functions within the Office of Clinical Affairs including timely equipment and system set-up requests, communication with new hires prior to their start date, engagement and appropriate escalation of new hire technical issues with IT business partners, start-date coordination, updating organization charts, and support to the training staff.

· Collaborates with clinical trainers to develop, edit, and maintain new hire materials as well as communicating and setting up schedules and materials for new hires as appropriate.

· Ensures appropriate record keeping and tracking of attendance of trainings for operational and regulatory purposes.

· Works with clinical trainers in developing and loading clinical trainings into the company Workday learning system and assigns to OCA staff as appropriate. Includes running and tracking reports on attendance and employee knowledge competency.

· Supports the OCA Continuing Education program and Didactics sessions by managing applications and attendee certificates and surveys.

· Manages the review of standard operating procedures and policies within Policytech by assigning annual and periodic employee review of documents and working with clinical trainers and leadership in tracking and monitoring staff attestations.

· Collaborates with OCA leaders, operation managers and clinical trainers on updating job aids, standard operating procedures, policies, and other help documents and ensuring departmental sharepoint sites are up to date and accurate.

· Coordinates informational sessions across OCA clinical teams as determined by clinical trainers.

· Under supervision, develops training content demonstrating inter-departmental processes and responsibilities.

· Identifies, communicates, and escalates issues on a timely basis.

Qualifications

Education Required:

· Bachelor’s degree or equivalent combination of training and experience

Education Preferred:

· Bachelor’s degree in health management or adult learning

Experience Required:

  • 2+ years of healthcare/managed care experience or training/adult learning experience in an industry outside of healthcare/managed care

Experience Preferred:

· Previous experience in managed care or healthcare setting strongly preferred

· Previous experience with training/adult learning experience strongly preferred

Required Licensure, Certification or Conditions of Employment:

· Successful completion of pre-employment background check

Competencies, Skills, and Attributes:

· Effective collaborative and proven process improvement skills

· Strong oral and written communication skills; ability to interact within all levels of the organization

· A strong working knowledge of Microsoft Office products, including Visio

· Knowledge of Workday, Policytech, or other learning management systems preferred

· Demonstrated ability to successfully plan, organize and manage projects

· Detail oriented, excellent proof reading and editing skills

· A strong ability to analyze, compile, format, and prepare data and materials for presentations

· Demonstrated ability to work independently and manage multiple complex projects simultaneously

· Proactive, motivated, and a collaborative team player

· Demonstrated ability to adapt quickly to changing priorities

Working Conditions and Physical Effort:

· Work is normally performed in a typical interior/office work environment.

· Able to perform work from a remote environment.

· Fast-paced environment.

· No or very limited physical effort is required. No or very limited exposure to physical risk

· Regular and reliable attendance is an essential function of the position.
