Job Summary: The Project Coordinator position serves as an essential part of our Service Projects team within our Service Department. This role is responsible for assisting Project Managers, Project Executives, and Department Manager with all aspects of execution of work for divisional projects.

Responsibilities:

  • Maintain scheduling of the technicians and communicate with the area service dispatcher.

  • Responsible for issuance of purchase orders to Area Managers.

  • Responsible for setting up projects, enter project budgets, enter schedule of values, enter budget revisions for change orders, clean up committed costs, close projects.

  • Obtain permits, prepare submittal packages, coordinate onsite inspections, comply with contract specifications for proper approvals, e.g., Bonding.

  • Review and verify A/P invoices against purchase orders and prepare for approval. When there is discrepancy with Purchase order, communicate with vendor & PM to resolve and get credit issued.

  • Prepare timecards for approval and entry into payroll system.

  • Prepare all Time & Material billings by job. Reconcile job cost reports and edit for accuracy and completeness.

  • Billings - Coordinate with Accounts Payable and Project Managers to assure billings are accurate and timely and issue all necessary paperwork.

  • Serve as a resource and assist Area Managers in other matters as required. Be a resource as needed for branch location.

    Requirements:

  • High school diploma/GED

  • Proficient computer skills with experience with Excel.

  • Project coordination or relatable experience preferred.

  • Strong mathematical skills required; accounting experience is a plus.

  • Exceptional interpersonal and communication skills, both written and verbal.

  • Strong organizational and time management skills with the ability to prioritize and multi-task.

  • Positive, can-do attitude.
