Supports the operational functions of Commercial Management, as well as provides general administrative support for various groups.

Principal Duties & Responsibilities

Commercial Support

  • Share in the management of Requests for Information (RFI) review (vetting), assignment and completion, and follow-up/follow-through.
  • Fully manage Customer Supplier Portals.
  • Manage RFI System support, including updating W9s annually, updating COIs (evidence of coverage) as required, updating FAQs, and managing users.
  • Manage Certificates of Insurance (COI).
  • Process Adobe Acrobat Signatures.
  • Generate reports from RFI system and action open RFI items.
  • Generate reports from Contracts Management System and share action on expiring items.
  • Contract-related projects as assigned by the Commercial Manager.
  • Obtain notary Public and notarize certain documents.

General Administrative Duties

  • Provide administrative support to the Americas Management team.
  • Assist in coordinating Sales Leader meetings gathering materials for meetings/presentations, organizing events and travel accommodations, as required. Documenting meeting notes and providing to attendees.
  • Tracking open/active NDAs (Non-Disclosure Agreements) for corporate entities provide NDA status for open projects, adding NDAs and Agreements.
  • Ongoing CRM updates work with Inside Sales and Marketing teams to update customer information industry types, corporate entity tags, etc.
  • Assist in generating various reports for the sales and leadership teams.
  • Performs other related duties as assigned.

Qualifications

Education and Experience: Minimum

  • HS Diploma (or equivalent)
  • 3+ years of administrative assistant experience, including supporting management-level staff.
  • MS Office Suite experience (Work, Excel, PowerPoint)

Knowledge, Skills and Abilities, Competencies

  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Work, Excel, PowerPoint).
  • Excellent organizational skills and attention to detail.
  • Ability to communicate with all levels in the organization, from frontline staff to senior leadership.
  • Ability to juggle multiple tasks and projects at one time.
  • Strong sense of urgency to accomplish tasks and projects.
  • Strong follow up skills.
  • Ability to accomplish tasks and projects by working through others (i.e. strong project management skills).
  • Strong analytical and problem-solving skills.
