Takes initiative to research, coordinate, and administer a wide variety of business, equipment, & campus wide compliance and regulatory activities such as record keeping, regulatory filings, inspections, system access, cemetery property buy-back, invoicing, and procurement. Utilize software skills and operational knowledge to accomplish responsibilities. Develops a process to organize, monitor, and initiate recurring initiatives to meet deadline requirements.

RESPONSIBILITIES

  • Track and identify ongoing and upcoming regulatory agency (i.e., SCAQMD, LA Sanitation District, LA COUPA, Dept. Public Works, CA Dept. Toxic Substances, CA Dept. of Tax & Fee Admin, CA Energy Commission.) requirements & Permitting. File reports, renewals, review invoices, obtain approvals, and submit for payment. Stay current with regulatory updates and changes.

  • Coordinate Underground Storage Tank inspections. Notifies internal dept. contacts of pending inspection and coordinates inspection date and downtimes. May escort inspector; may obtain answers to questions. File signed inspection reports. Track inspection issues, corrective action, and follows up on resolution. Review invoices, obtain approvals, and process for payment.

  • Work with regulatory consultants for compliance filings, corrective actions, records retention & retrieval. Review consultant’s proposals, review invoices and submit for approvals and payment.

  • Tracks, monitors, and administers vehicle registration and renewals.

  • Research property buyback requests, calculate current sales projection, and collaborate with Corporate Property Inventory Team to update property cost. Submit applicable cemetery and accounting transactions to update property cost and status.

  • Tracks and monitors, fuel usage applicable accounting transactions to record receivables and bill vendor’s for monthly fuel usage.

  • As requested, assist procurement with creating purchase orders, submitting, and invoicing.

  • Assists with quarterly location Peer Reviews and SOX checklists completions.

  • Administer a variety of business accounts and system access (i.e. adds, changes, deletes)

  • As requested, assist Director of Administration with a variety of tasks using excel skills and effective written and verbal communications skills.

  • As requested, assist and accompany Data Systems Administrator with a variety of tasks including monitoring system outage notifications and redistributing to impacted business units, initiating heat tickets and monitor data center equipment performance (includes trouble shooting, vendor scheduling, & problem resolution). May escort vendors, repair technicians on property, obtain answers to vendor questions, and review vendor agreements and invoices.

Consistently applies procedures, regulations, and policies producing compliant and efficient results. Exhibits accountability for work and behaviors.

  • Takes the initiative to discuss assignments, expectations, priorities and deadlines as well as seek guidance and coaching from manager. Notifies manager when workload is light and volunteers for additional work. Adjusts quickly to work within new work structures, processes, requirements, or cultures. Ensures compliance with local, state, and federal regulations.

  • Provide high level service in person & over the phone, assist with customer and company needs, maintain a positive attitude, provide accurate information & display professionalism.

MINIMUM REQUIREMENTS

Education

  • Associate’s degree with an emphasis in Business Administration or IT.

Licenses

  • Valid state driver’s license with an acceptable driving record

Experience

  • At least four (4) years’ administrative experience organizing, tracking, and initiating activities to accomplish on-time deliverable.

  • IT, Funeral or Cemetery industry experience a plus

Knowledge, Skills and Abilities

  • Proficient computer skills in Microsoft Word and Excel

  • Accurate mathematical skills

  • Cognitive ability including reasoning, identify problems, comprehend ideas, learn quickly, learn from experience, and appropriately apply learning to new situations.

  • Process and results oriented, motivated to keep projects moving ahead by identifying obstacles and exploring alternatives

  • Must have a positive attitude, a drive to continually advance your understanding of the industry and business, and is highly self-motivated

  • Ability to build professional and trusting business relations within the team

  • Professional written and verbal communication skills

  • Willingness to work in the death industry

  • Available to work nights, weekends, and overtime

WORK CONDITIONS

Work Environment

  • Work indoors and or outdoors during all seasons and weather conditions

  • Comply with Operations Dress Code Policy

Work Postures

  • Sitting continuously for many hours per day, up to 6 hours per day

  • Climbing stairs to access buildings frequently

Physical Demands

  • Physical effort requiring manual dexterity is required, includes paperwork, calculators, computers and phone usage

  • Lifting, pushing, pulling up to 25 pounds

  • Use of ladder to access data cables, network access points, and network switches.

Work Hours

  • Working beyond “standard” hours as the need arises

Compensation:

$33.00/hr - $38.00/hr
