Lineage Logistics Dispatch Supervisor in Winnipeg, Manitoba

We are a growing organization and currently looking for a passionate and motivated Supervisor, Dispatch to join our winning team.

Employment Type: Full-Time

Shift: Monday to Friday 8:30 am to 5 pm

Office/Facility: Dawson Facility - Winnipeg, MB

POSITION SUMMARY

Dispatch Supervisor is responsible for organizing and executing the daily pick-up and delivery objectives for the Terminal by coordinating the scheduling and routing of Driver trips and working closely with the drivers to achieve and maintain high service levels. The Dispatch Supervisor, works closely with the Terminal Operations team to ensure all trips are coordinated, company resources are optimized, and customer needs are being fully met and/or exceeded. The Dispatch Supervisor is responsible for working with Drivers to ensure 100% compliance with Transportation Safety Plan policies and procedures, while ensuring professional on-time service on pick-ups and deliveries, and providing coaching and performance management to Drivers accordingly.

KEY RESPONSIBILITIES

Safety & Compliance

  • Leads and promotes a culture where Health & Safety is the #1 priority. Provides leadership and support for Health & Safety initiatives at the facility.

  • Operates within and ensures full compliance with the Code of Business Conduct, company policies and procedures, and all statutes and legislation governing the workplace.

  • Works with Drivers to ensure Driver hours are not exceeded, and that maintenance is completed within required time frames. Maintains paperwork and records to ensure compliance.

  • Manages Drivers to ensure they are operating in the most safe and effective manner, and are compliant with transportation legislation and company policies and procedures. Implements progressive discipline process to manage driver performance.

  • Ensures all driver files are maintained in accordance with the Transportation Safety Plan.

  • Is familiar with and applies all hiring standards set forth in the Transportation Safety Plan.

  • Delivers training to new Drivers inclusive of documentation that all modules of the Transportation Safety Plan have been effectively communicated. Provides periodic retraining as required.

  • Meets with drivers who are classified with an unsatisfactory driving performance review and discuss company expectations. Provide follow up communication and coaching to monitor compliance and ensure performance improvement.

  • Understand and adhere to, and ensure the driving staff understand and adhere to all Transportation Safety policies and guidelines.

  • In collaboration with the terminal management team, partners with national and regional Health & Safety leads to implement incident prevention programs.

  • In collaboration with the terminal management team, partners with regional Food Safety lead to implement and maintain Cold Chain Assurance programs such as HACCP, including program development, ensuring compliance, employee training and compliance reporting.

  • May participate in Joint Health & Safety meetings.

People Leadership

  • Leads daily On Road operations by prioritizing activities, and providing leadership and direction to the On Road team. Ensures the shift follows established procedures in alignment with the company vision, mission, strategy and culture.

  • Monitors, measures, coaches and develops direct reports, ensures adherence to policies and procedures, provides recognition, evaluates and provides feedback on performance, addresses performance concerns and resolves problems.

  • Assumes the leadership role in the hiring, orientation, training and development of Drivers. Responsible for the successful onboarding of new Drivers using the Driver Onboarding Checklist, including reviewing the Driver Handbook and providing training on all relevant operating processes.

  • Establishes work schedules and ensures that they are correctly implemented and that jobs are assigned and completed effectively. Tracks daily attendance of On Road employees, including sick days, vacation and floater days. Monitors attendance and addresses attendance management issues.

  • Champions company-wide programs for increasing employee engagement, communications and people development.

  • Acts as the primary contact point for Central Linehaul Planning team.

Customer Experience

  • Plays a leadership role at the Terminal, being a team player and collaborating effectively with all team members in Transportation and Warehousing to achieve daily objectives.

  • Leads their team in providing the highest levels of service to all customers with whom they interact, whether internal or external, with the goal of continuously improving the customer experience.

  • Works with the Manager, Terminal Operations and leadership team to implement Key Performance Indicators (KPI’s) related to daily customer service objectives.

  • Oversees and monitors customer service levels provided and implements continuous service improvements.

  • In collaboration with the Manager, Terminal Operations, communicates with existing customers to understand and prioritize their needs, participating in calls and meetings as appropriate.

  • Implements improved operational processes that enhance capabilities to meet/exceed service standards.

  • Ensures organizational adherence and accountability to standard operating procedures.

Operational Excellence

  • Manages Drivers to ensure they are operating in the most safe and effective manner, and are compliant with transportation legislation and company policies and procedures. Provides coaching and performance management to address non-compliance, and safety or service issues.

  • Leads and coordinates all team members and resources involved in the daily pick-up and delivery of freight, including Dispatchers, Drivers, Third Party Carriers and Owner Operators.

  • Ensures appropriate Driver resource is sent to each call, based on current location, truck size, capacity, schedule, and whether shipment is fresh/frozen. Ensures the most efficient and effective resources is dispatched to meet customer service schedules.

  • Ensures regular communication with Drivers to keep apprised of Driver locations across the network so they may assign next pickup according to proximity.

  • Oversee the compliance of truck inspection, licensing, registration, and coordinates trailer maintenance to ensure 100% on time maintenance compliance.

  • Ensures the Collection, audit, tracking and filing of internal paperwork from Drivers (PODs, fuel slips, maintenance records).

  • Keeps in communication with the dock and central linehaul regarding shipments that will be arriving late or not according to schedule.

  • Provides a daily exceptions report to Manager, Terminal Operations, showing all on time and late departures.

  • Ensures all Driver activities are logged in Truckmate, such as ETA adjustments, late departures/arrivals.

  • Prepares reports and other information related to the Dispatch and OnRoad functions. In conjunction with the Financial Planning & Analysis team and Manager - Costing & Optimization is responsible for preparing and analyzing performance reports in regards to identified Key Performance Indicators (KPIs), budgets and forecasts. Monitors results on an ongoing basis and adjust On Road operations as required.

  • Ensures daily yard count is complete and trailer banks are updated in Truckmate.

  • Manages payables for broker pay, P&D activity and third party invoices for P&D. Manages and audits fuel bills (drivers hand in slips to be reconciled with fuel bill end of month). Ensures Trip sheets are handed in with fuel receipts attached.

  • Recommends continuous improvement efforts and identifies cost saving and growth initiatives.

  • Continuously grows and develops operational knowledge and leadership capabilities by participating in professional development opportunities.

  • Performs other duties as assigned in accordance with the company vision, mission, strategy and culture.

KEY REQUIREMENTS

  • 3-5 years’ experience working in an LTL transportation environment in a planning or dispatch role.

  • Experience working with company drivers, owner operators and third party carriers.

  • Post-secondary education in Transportation, Operations, Logistics or related field.

  • Excellent customer service abilities with a natural desire to provide exceptional service and build strong relationships with Drivers.

  • Proven ability to supervise a team working in a fast-paced warehouse environment to ensure accuracy, compliance and a team culture of excellence.

  • Proven analytical and problem solving skills. Ability to quickly understand and identify issues and propose solutions.

  • Proven ability to effectively prioritize work flow to ensure deadlines are met in a fast-paced environment. Able to adapt to shifting priorities.

  • Analytical; logical thinker with ability to think two steps ahead and successfully analyze different pieces of information and put them together like a puzzle.

  • Ability to provide exceptional team leadership, including coaching, mentoring and engaging employees to bring out their very best work on the job.

  • Ability to recognize unique strengths and talents in each team member, and coach and develop employees to grow and encourage strengths, and put development plans in place to address areas for improvement, if required for the job.

  • Excellent communication skills, both verbal and written.

  • Dedicated to continuous improvement and ability to identify opportunities to increase efficiency and enhance results. Ability to manage and adapt to change.

  • Approachable, positive demeanor with a hands-on and team-oriented work style.

  • Knowledge of the logistics, supply chain and/or transportation industry preferred.

  • Commitment to health and safety in the workplace.

  • Takes initiative, is proactive in their work, and results-oriented.

  • Microsoft Office skills with an emphasis on Word, Excel and Outlook.

  • Working knowledge of labour management, transportation, financial and other key technologies.
