About the role

We are currently seeking an energetic Business Administrator to join our Stantec office in Wollongong. This opportunity will see you supporting our Community Development business unit, with the focus on office administration.

The Business Administrator (BA) is responsible for assisting the Business Leader and staff within the group to ensure the operations of the BC runs efficiently. The role will also have the opportunity assist staff and project managers in the delivery of fee proposal, submissions, projects and the administrative functions associated with those roles.

The position will report to the Business Leader and be based from our modern Wollongong office, which has over 80 staff and is located 2 minutes walk from the beach, cafes and restaurants.

Day to day tasks may involve:

  • Provide administrative support to the Business unit (BC) including printing, filing, archiving, formatting, proof reading and binding documents, ensuring these works are consistent with Stantec’s brand.

  • Maintaining BC registers and logs where applicable.

  • Entering timesheets for absent team members, as requested.

  • Facilitate fieldtrip bookings including, flights (national and international), accommodation, hire vehicles and safety equipment as required, and assistance with expense reconciliations

  • In conjunction with the Shared Services Team (where applicable) and or BCOL, assist in maintaining compliance with quality, safety and environment policies and processes including assisting with audits, assisting with injury prevention, return to work and reporting where required.

  • Assisting staff with managing their conformance to the QA requirements

  • Coordinate conferences, meetings and luncheons as required.

  • Assist with coordination of building maintenance when required, office equipment requirements in conjunction with the Shared Services Team and or BCOL, Finance and Procurement (where applicable)

  • In conjunction with Shared Services Lead and or BCOL help coordinate office communications, team briefings and staff events, including preparation of Client mailouts e.g. Newsletters, Christmas Cards

  • Assist with the coordination of exit checklists to ensure company property is returned and all sections are completed.

  • Reception support and back up where and when required

Qualifications

To be successful for this role you'll need to:

  • Qualification in relevant discipline such as Business Administration e.g. Certificate II, III in Business Administration or Tertiary studies and/or demonstrated work experience.

  • Demonstrated experience delivering excellent administration and office management services.

  • Minimum 3 years’ experience in an administration role

  • Strong administration and organisation skills with the ability to multi-task

  • A team player attitude with a pro-active and professional approach to work

  • Ensure the quality of documentation adheres to company design guidelines and is to a high standard.

  • High level interpersonal skills with the ability to positively liaise with key stakeholders.

  • Ability to work under pressure and to tight deadlines.

  • Ability to work independently and in a team to supporting multiple projects and conflicting priorities.

  • Excellent communication and interpersonal skills.
