The primary purpose of this position is to serve as the Branch-level principal office assistant, performing various clerical and administrative duties, as well as providing administrative support for programs within the organization. Responsibilities DU-0318-02: SECRETARY (OFFICE AUTOMATION) Prepares a wide variety of recurring and non-recurring correspondence, reports, and other documents using varied and advanced word processing software. Composes routine non-technical correspondence, such as instructions on office procedures, requests for information, and letters. Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives. Screens incoming mail to identify items requiring the attention of the supervisor, referral to appropriate staff, rerouting to other organizations/offices, or personal handling. Receives telephone calls, greets visitors, and determines the nature of the calls or visits. Based on knowledge of the organization and its programs and operations, refers telephone calls and visitors to appropriate staff or office. Schedules appointments and meetings without prior approval in accordance with supervisor's policies and priorities, and coordinates with supervisor as necessary. Establishes, updates, and maintains office records of various types that may be needed or will assist in the efficient operation of the office. Uses multiple office automation software programs with varied functions to produce a wide range of documents that often require complex formatting, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Requirements Conditions of Employment Qualifications Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Group Coverage Qualification Standards for Clerical and Administrative Support Positions. Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year, or will have one year within 120 days of closing of this announcement, specialized experience at the next lower grade, DU-01/GS-04, or equivalent in other pay systems. Examples of specialized experience include providing administrative support in an office setting, such as preparing, proofreading, or editing correspondence, scheduling appointments, greeting visitors, and answering phones. NOTE: Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement. OR EDUCATION: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college, or university. NOTE: You must submit a copy of official transcripts. OR COMBINATION OF EXPERIENCE AND EDUCATION: Equivalent combinations of successfully completed education past two years above high school and specialized experience directly related to the work of this position as outlined above that meets the requirements of the position. NOTE: You must submit a copy of official transcripts KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Applies well-developed knowledge and skills to effectively perform a full range of moderately complex clerical/assistant/support work. Communicates with co-workers and management officials in own organization in order to plan and coordinate work, communicate important concepts and requirements, or recommend solutions. Effectively interacts with customers to understand their needs, answer questions, and provide routine information about products and/or services. Contributes as a member of the team performing substantive clerical/assistant/support duties in support of the organizational mission. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
